How managers use this calendar

  • Book your staff now. Allocate every member of your team to one run of each topic and send names to the Training team at least ten working days before each session. Spread teams across the four cohorts so that services stay staffed; new starters go onto the next available run of each topic.
  • Face-to-face sessions are capped at 16. The 1 October and 7 January runs are for Surrey and South London staff; the 3 November and 4 February runs are for Brighton and Sussex staff. Places go on a first-come basis; unfilled places are released to the other region a week before.
  • Rota for it. Every session is paid working time. Staff on shift must not join from a service user’s living space or while providing support. Build cover into rotas as soon as names are confirmed, not the week before.
  • Teams links are issued to managers on the Monday of each session week for circulation to booked staff. Staff join from ten minutes before the start with their full name showing and camera on; the register is taken from the participant list.
  • Certificates and the matrix. A certificate is issued to staff who attend in full and pass the end-of-session knowledge check. The Training team updates the training matrix within five working days; managers check their service’s entries at the next team meeting.
  • Non-attendance. Staff who miss their booked run are rebooked by their manager onto the second run. Staff who miss two runs are referred to the next catch-up slot (26 November or 23 February); if the topic is not selected for that slot, they carry to the next run and are flagged as non-compliant on the matrix.
  • Recommended order for new starters: Mental Health Awareness → Trauma-Informed Care → Positive Behaviour Support → Self-Harm, Suicide and Ligature Awareness → PMVA Day 1. Follow this order where dates allow; do not hold a new starter back from an available session just to preserve it.
  • Catch-up slots, 26 November and 23 February. Managers submit the names and outstanding topics of all non-attenders by 12 November and 9 February respectively. The topic with the greatest number of outstanding staff is delivered; the remainder roll to the next run.
  • Trainer availability. Chukwuma Onurah works Tuesdays and Thursdays only, so sessions alternate between the two — Tuesday one week, Thursday the next — with one session a week. This spreads the cover burden across two rota days rather than always hitting the same staff. If a date must move, it moves within the same week to the other of those two days, never to another weekday. The 18 September session is a one-off Friday, already advertised and agreed with the trainer.
  • Festive break. No sessions in the weeks of 21 and 28 December. The three bank holidays in this period (25 and 28 December, 1 January) do not fall on training days.
